When you contact us or submit a form, we may collect your name, email address, telephone or WhatsApp number, business or property type, site address and postcode, opening hours, preferred dates, access information and the details written in your message. You may optionally upload photographs of the canopy, filters, visible ductwork, fan, plant room or other parts of the system. If you become a customer, we may also keep quotation, booking, service, report, certificate, invoice, payment and correspondence records. The website may receive limited technical information such as IP address, browser type, device information, security logs and your cookie or external-media preference.

We use enquiry information to respond, assess the requested work, prepare a quotation and take steps at your request before entering a contract. We use customer information to arrange and deliver services, communicate about access and timing, prepare reports and certificates, issue invoices and manage payment. We may process records to meet tax, accounting and other legal obligations. We also have legitimate interests in protecting the website, preventing misuse, keeping accurate business records, responding to complaints and improving how we organise services. Where consent is the appropriate basis, including optional external-media technologies, you can withdraw that consent at any time.

System photographs are optional but can help us understand equipment and access before a visit. Please upload only images relevant to the property or ventilation system. Avoid including faces, identification documents, payment cards, private papers or unrelated personal information. Submitted files may be stored with the enquiry and sent to our business email for assessment. If an enquiry does not proceed, we normally delete uploaded photographs within 12 months. If they form part of a completed project record, report, dispute or legal obligation, they may be retained for longer as described below.

We do not sell personal information. We may use trusted service providers for website hosting, security, email, file storage, accounting, payment administration and professional advice. Information may be shared with workers or subcontractors only where reasonably necessary to assess or deliver an agreed service. We may also share information with accountants, insurers, legal advisers, regulators, courts, law-enforcement bodies or public authorities where required by law or necessary to establish, exercise or defend legal claims. Service providers must handle information for the agreed purpose and with appropriate safeguards.

General enquiries that do not become bookings are normally retained for up to 12 months so we can answer follow-up questions and maintain a reasonable enquiry history. Customer quotations, work records, reports, certificates, invoices and related correspondence may normally be kept for up to six years after the end of the relevant relationship or accounting period, and longer where a law, active dispute, insurance matter or legal claim requires it. Security logs are kept only for a proportionate period. Cookie and external-media choices are reviewed after approximately six months or sooner if you clear your browser storage.

The website uses necessary technologies for security, page delivery, form protection and remembering whether the booking popup has been closed. A local preference is also used to remember your cookie choice. Optional TikTok content is not activated until you choose to allow external media. If allowed, TikTok may receive device, browser and IP information and may use its own cookies or similar technologies under its privacy terms. The coverage map is provided through OpenStreetMap and may receive technical request information such as your IP address when the map loads. Links to Google Maps, Google reviews, Instagram, TikTok or WhatsApp open those providers’ services, which then operate under their own privacy information.

Depending on the circumstances, you may ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to processing or transfer of information you provided in a reusable format. Where processing relies on consent, you may withdraw consent without affecting earlier lawful processing. These rights are not absolute and an exemption may apply. Please contact us first if you have a privacy concern so we can try to resolve it. You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority. We use reasonable technical and organisational measures intended to protect personal information, including website security tools, restricted administration access and business systems appropriate to the service. No internet transmission or storage system can be guaranteed completely secure. Some external providers may process information outside the United Kingdom. Where this involves personal information under our control, we require an appropriate lawful transfer mechanism or other permitted safeguard. When you independently follow an external link or enable third-party media, that provider’s own terms also apply.

Our services are intended for businesses, property managers and adults arranging property services. We do not knowingly seek information from children. We do not use website enquiry information to make solely automated decisions that produce legal or similarly significant effects.
